Planning events can be a tricky process. Here are some tips to help you make your event the best it can be:

Set the date

Set the date for your event and work backwards with a schedule that works for you. Make sure you allow enough time to prepare all of your materials.

Invite on time

Make sure you send invitations to attendees with enough advance warning. For in-person events with traveling attendees, send invitations at least two months in advance. For online webinars, send invitations at least two weeks in advance.

Choose a venue

If you are holding an in-person event, choose a venue that can accommodate your attendees and the materials needed for your presentation comfortably. Materials may include a projector, easel, chairs, tables, pads & pens for note-taking, refreshments, signage and a registration area.

Stay Organized

Keep checklists of everything you need to prepare for the event, including materials, venue issues, event day to-do lists and task lists for any event helpers. Checking off tasks as they are accomplished will help you feel more relaxed.

Plan Ahead

Allow time for glitches-arrive at the venue early to set up, make sure your materials are ready and working, and plan ahead for question/answer sessions throughout your presentation.

Practice, practice, practice!

Know your material and be ready to answer any questions from your attendees. Any nerves you have will subside if you really know your stuff. Just in case, always have some water on hand to cool off, calm the butterflies or soothe a dry throat!
